Smart Phone Remote Access to Full Outlook

 

For many years I have been lugging my laptop around whenever I leave my office due to my need to access the rich Outlook client in order to support TeamScope’s business operations. I would connect to the Internet using a Verizon Cellular Modem and use the full Outlook client on my laptop or Remote Desktop to access a desktop system in my office depending on the situation. Last month I finally took the plunge and purchased a G2, the latest Android based phone from T-Mobile, hoping that I would be able to remotely access Outlook in a more convenient manner when traveling.  The good news is that it works great!

 

After purchasing the G2 I decided to first try to use the Remote Desktop software that is built into Windows XP to access my oldest desktop system.  After a search through the Android Market for “remote desktop” and reading a number of reviews I selected Remote Desktop Client from Xtralogic. This software worked great and I was immediately able to access my old Windows XP system running Outlook 2003 from either my laptop or from the G2.

 

I also needed to access a test system which is running Windows 7 and Outlook 2010 under VMWare. Unfortunately the network that this system is part of does not permit me to use Remote Desktop to access it, although once we set up an upgraded Windows Server we should be able to use Remote Desktop Gateway to accomplish this.  In the meantime I decided to try our LogMeIn Ignition and was delighted with the results.  While there are a couple more steps when logging in, and if you upgrade to the Pro version on the server side it is more expensive, LogMeIn proved to be a bit faster and more responsive than the native Remote Desktop approach.

 

One other factor in my decision was the ability of the new G2 to access T-Mobile’s 4G network. When available the data rates using this network are better than the DSL I have to my office so the remote desktop software is very responsive.  When the 4G network is not available the G2 uses the older and slower 3G network, but even then the remote desktop performance is acceptable.  Another plus when using the G2 is that the time it takes to access Outlook is much less than when I open up and bring my laptop out of hibernation, so I find myself checking e-mails more often.

 

In conclusion, since it is critical that I have access to the full Outlook client no matter where I might be I have no problem spending an extra $30 for redundant remote desktop capabilities.  Having both approaches available allows me to access two systems at once from the G2, my old WinXP system using Remote Desktop and a second system using LogMeIn Ignition, which has been useful when trying to analyze a customer issue. Of course for lengthy e-mail or newsletter writing having a full keyboard and large screen is a must, but for the vast majority of my day to day business activities the G2 is more than adequate.

 

 

Synchronizing Signatures between Computers

This tip from MSOutlook.info discusses how you can use Windows Live Mesh, a part of the Windows Live Essentials Suite, to keep the Outlook signatures on all of your computers in synch.  Windows Live Mesh also allows you to synchronize your Internet Explorer Favorites and gives you access to 5GB of free storage via SkyDrive which will automatically sync selected folders. Note that these features require you to be running either Windows Vista or Windows 7 since Windows XP is not supported.
